DutyDesk — Privacy & Terms

What the Chat app reads and stores, who sees it, the terms of use, and billing and refunds.

Privacy Policy

In Short

  • DutyDesk is a Google Chat app. It acts as itself (an app with the chat.bot permission), never as you: it does not ask for access to your Gmail, Drive, Calendar or any other Google data.
  • It only sees the messages that mention @DutyDesk, the commands you send it, and the buttons you press on its cards. It does not read the other messages of the space.
  • What we store, per Chat space: the space name, the rotation (people, order, schedule, timezone), who was on duty when, and for each request the first 200 characters of its text, who asked, who it was assigned to and its status.
  • We do not sell your data or share it, except with Polar (polar.sh), which processes payments and receives the buyer’s e-mail address for that purpose, and PostHog, which receives product usage events about a space under a random identifier (never message text, names or e-mail addresses).
  • The app’s use and transfer of information received from Google APIs adheres to Google API Services User Data Policy, including the Limited Use requirements.

What DutyDesk receives from Google Chat

When What DutyDesk receives What it keeps
DutyDesk is added to a space The space name and the person who added it The space name and that person’s Chat user ID
/dd_setup The members of the space, to list them in the dialog The people you put in the rotation: Chat user ID and display name
A message mentioning @DutyDesk The message, its sender and thread The first 200 characters of the text, the sender’s Chat user ID and display name
A button on a card (Claim, Skip, Swap…) Who pressed it The change it makes (claimed by, skipped, swapped)
Choose on the plans card Your e-mail address, from Google Chat Nothing: it is passed to Polar’s checkout page so you don’t have to type it

People are identified by their Google Chat user ID (users/…), never by e-mail. DutyDesk does not store e-mail addresses.

Google permissions

Permission Why DutyDesk asks for it
chat.bot (granted to the app, not to your account) Post and update its messages and cards in the spaces it is added to, and list the members of those spaces for the setup dialog
openid, userinfo.email, userinfo.profile Only for the DutyDesk side panel in other Google Workspace apps: to know which Google Chat user opened it, so it shows the spaces that person belongs to. Your user ID is matched to your Chat user ID; the e-mail and profile are not stored
script.locale Only for the side panel: your timezone, to show handoff times in your local time. Not stored

DutyDesk never receives a token that lets it read your Gmail, Drive, Calendar or other Google data, and never acts as you.

How DutyDesk uses this data

DutyDesk uses the data above only to provide its features to the space: keep the rotation, post handoffs, route and track requests, and bill the space. We never:

Who sees what

Rotation, handoff and request cards are posted in the space, so every member of the space sees them, as they see any message. Cards about one person (your duty, help, plans, confirmations) are private: only that person sees them.

Third parties

Service Why What it receives
Google Chat Where DutyDesk runs The messages and cards DutyDesk posts
Polar Software Inc. (polar.sh) Payments, as merchant of record The buyer’s e-mail address, payment details (entered on Polar’s page, never seen by us), the space’s DutyDesk install number
PostHog Product analytics Events such as “rotation created” or “request resolved” for a space, under a random identifier. No message text, names or e-mail addresses

Security

Data is stored in our own database, not shared with other Futzs apps. All traffic to and from DutyDesk is encrypted (HTTPS). Every request from Google Chat is checked to come from Google before DutyDesk acts on it. The database is on a server only the Futzs team can access, and used only to support the service. DutyDesk’s Google service account key and payment webhook secret are stored as server secrets, never in the code.

How long DutyDesk keeps data

DutyDesk keeps a space’s rotation and requests while it is installed in the space. When the app is removed, the data is kept so the rotation comes back as it was if the app is added again. To erase everything DutyDesk stores about a space, a member of that space can e-mail support-dutydesk@futzs.com; it is done within 30 days. Payment records kept by Polar follow Polar’s own retention rules.

Changes to this policy

We will post any change on this page, with its date. Last updated: November 8, 2026. If a change concerns what DutyDesk accesses or stores, Google Chat will ask the space again before DutyDesk gets the new access.

Terms & Conditions

Terms and Conditions

These terms and conditions (“Agreement”) set forth the general terms and conditions of your use of the “DutyDesk” application (“Application”, “Service”, “App”) and any of its related products and services (collectively, “Services”). This Agreement is legally binding between you (“User”, “you” or “your”) and this Application developer (“Operator”, “we”, “us” or “our”).

By accessing and using the Application and Services, you acknowledge that you have read, understood, and agree to be bound by the terms of this Agreement. If you are entering into this Agreement on behalf of a business or other legal entity, you represent that you have the authority to bind such entity to this Agreement, in which case the terms “User”, “you” or “your” shall refer to such entity. If you do not have such authority, or if you do not agree with the terms of this Agreement, you must not accept this Agreement and may not access and use the Application and Services.

Acceptance of Terms

By adding DutyDesk to a Google Chat space, or by using it in a space where it was added, you agree to be bound by this Agreement. DutyDesk is installed from Google Chat or the Google Workspace Marketplace, and Google shows a link to these terms before it is installed.

Description of Service

“DutyDesk” is a Google Chat app for duty rotations and request routing. In a Chat space, it keeps a rotation of people, posts a handoff message when the duty changes hands, and routes each message that mentions @DutyDesk to the person on duty, who can claim, reassign or resolve it from the card.

DutyDesk notifies people through Google Chat only. It is not an emergency or monitoring service: delivery depends on Google Chat and on the people on duty reading it, and DutyDesk does not guarantee that a request is seen or answered within any time.

The Service requires a Google Workspace account, Google Chat, and a space the app is allowed in. You are responsible for who is in the rotation and for what is written in the requests.

Use of Service

We may suspend or disable DutyDesk for a space if we determine that you have violated any provision of this Agreement or that your conduct or content would tend to damage our reputation and goodwill.

Google might also suspend, disable, or delete your Google account if they determine that you have violated any provision of their Agreement. We will not be liable for any act from Google on your Google account.

Prohibited Uses

In addition to other terms as set forth in the Agreement, you are prohibited from using the Application and Services or Content:

for any unlawful purpose;

to solicit others to perform or participate in any unlawful acts;

to violate any international, federal, provincial or state regulations, rules, laws, or local ordinances;

to infringe upon or violate our intellectual property rights or the intellectual property rights of others;

to harass, abuse, insult, harm, defame, slander, disparage, intimidate, or discriminate based on gender, sexual orientation, religion, ethnicity, race, age, national origin, or disability;

to submit false or misleading information;

to upload or transmit viruses or any other type of malicious code that will or may be used in any way that will affect the functionality or operation of the Application and Services, third party products and services, or the Internet;

to spam, phish, pharm, pretext, spider, crawl, or scrape;

for any obscene or immoral purpose;

to interfere with or circumvent the security features of the Application and Services, third party products and services, or the Internet.

We reserve the right to terminate your use of the Application and Services for violating any of the prohibited uses.

Intellectual property rights

This Agreement does not transfer to you any intellectual property owned by the Operator or third parties, and all rights, titles, and interests in and to such property will remain (as between the parties) solely with the Operator. All trademarks, service marks, graphics and logos used in connection with the Application and Services are trademarks or registered trademarks of the Operator or its licensors. Google, Google Chat and Google Workspace are trademarks of Google LLC.

Plans, Billing and Refunds

Free trial. Each space gets a 21-day free trial with the Team limits. No payment card is needed. DutyDesk posts a reminder in the space before the trial ends.

After the trial. Without a paid plan, nothing is deleted: the space becomes read only. /dd_duty still answers, but new requests are not routed, handoffs are not posted and the rotation cannot be changed until the space subscribes.

Paid plans. One plan per space, priced by the number of people in its rotation: Small (up to 5 people) and Team (up to 20 people), billed monthly or yearly in advance, at the price shown before you pay.

Merchant of record. Payments are processed by Polar Software Inc. (polar.sh), which acts as our merchant of record: Polar sells the subscription to you, issues the invoices and receipts, and collects and remits VAT and sales tax. Polar’s own terms and privacy policy apply to the payment.

Cancellation. You can cancel at any time: /dd_help › See plans › Manage subscription, or from the link in Polar’s receipt e-mail. The plan stays active until the end of the period already paid, then the space becomes read only as described above.

Refunds. If DutyDesk does not work for you, contact support-dutydesk@futzs.com within 14 days of a payment and we will refund it in full. Consumers in the EU and UK also keep their statutory right of withdrawal. After 14 days, payments are not refunded, but you can still cancel future renewals at any time.

Price changes. We will tell you at least 30 days before a price change applies to your subscription.

Changes and Amendments

These Terms are subject to occasional revision, and we reserve the right to modify this Agreement or its terms relating to the Application and Services at any time, effective upon posting of an updated version of this Agreement.

If your business or legal entity needs to be explicitly notified in case of changes to the terms, you may send an email to support-dutydesk@futzs.com to be added to our notification list.
